Overview

Responsibilities:

The Welcome Officer and Cashier will be responsible for supporting Finance and Administration department in Welcome activities and Cash transactions. He/She ensures that Welcome activities are organized smoothly, including travel arrangements, visas and permits, official registration and accommodation.

  • Ensures that ICRC staff visiting the Mission are met on arrival and brought to suitable accommodation (hotel, ICRC residence)
  • Interacts with relevant authorities (ministries, consulates, etc.) regarding certificates, visas, permits, registration, etc
  • Conducts regular random checks to make sure that accommodation is safe and suitable to live in; contacts the appropriate department(s) in case of problems
  • Organizes communication flow between ICRC respective offices regarding staff travel, organizes Welcome files, business cards and tours in the office for new arrivals
  • Keeps all appropriate databases up to date on staff members, missions/other travel, document validity, residences, and any other relevant information
  • Assists the Finance & Administration Manager in collecting cash from the bank according to financial rules
  • Prepares receipts as well as invoices for payment
  • Makes cash payments based on signed documents (bills and invoices)
  • Performs regular cash controls and reconciliation, handles cash replenishment from the bank
  • Accountable for the petty cash transactions and the integrity of physical cash balances in the Mission, strictly respecting and applying the ICRC's rules on financial management

Required Qualifications:

  • University degree, (degree in administration, economics or travel industry will be viewed as an asset)
  • Minimum 3 years of experience in a similar field of activity, international humanitarian work experience will be veiwed as an asset
  • Very good command of spoken and written English, Armenian, Russian
  • Computer proficiency
  • Excellent organizational skills
  • Disciplined and accurate personality
  • Capacity to adhere to and implement specific procedures
  • Advanced communication skills
