As the Associate, Facilities, you will support company operations in our Armenia office. The ideal candidate will have an outgoing and friendly personality while also being very perceptive and disciplined to get things done from A to Z. You should be able to deal with emergencies timely and effectively while streamlining office operations in a calm and pleasant manner. Multitasking and stress management skills are essential for this position.

Responsibilities:
  • Maintain the office climate: Ensure a stable temperature in all office areas by effectively managing the AC system.
  • Ensure fresh air: Ensure we have enough fresh air in the office based on the standards by maintaining the fresh air system.
  • Manage office access: Effectively manage the 24/7 office access by implementing respective policies for employees and visitors, parking usage, and vendor access management. Also handle issues with surrounding buildings and neighbors.
  • Ensure uninterrupted power: Ensure an uninterrupted power supply for our offices by making sure the power generator is always functioning and automatically running as a backup power source during main power outages.
  • Water management: Ensure that we have hot and cold water in the kitchens and washing rooms of the offices, and maintain enough water stock during water outages.
  • Manage service providers: Manage the security and cleaning service providers in all offices.
  • Logistics management: Own the logistics of the shipments between the US and Armenia offices by effectively managing the outsourced logistics vendor.
  • Furniture management: Take care of all furniture requests, orders, maintenance, and organizing for all offices.
  • Stockroom management: Oversee the stockrooms, ensuring they are well-organized and adequately stocked with necessary supplies.
  • Landlord liaison: Be the first point of contact for the landlords to manage office maintenance and issues.
Required Qualifications:
  • Proven work experience as an office/workplace coordinator
  • Strong decision-making skills
  • Ability to lead a project from A to Z with some guidance
  • Strong multitasking and time-management skills, with the ability to prioritize tasks
  • Dedicated to providing best-in-class service for Team members
  • Ability and strong desire to automate processes using AI tools
  • Strong written, verbal, organization & problem-solving skills
  • Ability to be resourceful and proactive when issues arise
  • Fluency in Armenian and English
  • Excellent knowledge of GoogleDocs & Microsoft Office (especially Excel and Word)
