Chemonics is seeking applications to fill the vacancy for the position of Administrative Assistant. The Administrative Assistant will support the Operations and Finance team to ensure efficient operations, financial management, human resources administration, procurement, and compliance with USAID regulations, Chemonics policies, and local law. The team will also manage the Activity Strategic Implementation Fund, including grants and subcontracts, to ensure interventions are impactful, cost-efficient, and in line with all applicable regulations.

Responsibilities:
Administrative Assistant Responsibilities:
  • Provides administrative support and ensures the smooth and efficient operation of the office and ensures that office equipment and supplies are ordered on time, properly maintained, and inventoried;
  • Maintain a good knowledge and understanding of all office rules and procedures as set forth in the field office policy manual;
  • Assist as needed with logistical recruitment and onboarding of local Activity staff including collecting references, biodata verification, and other required documents;
  • Assist project staff in arranging travel, visas, hotel accommodations, and transportation as needed;
  • Provide administrative and logistical support to conferences, workshops, and meetings;
  • Facilitate backup documentation and manage petty cash, including log, distribution, receipts, and reconciliation;
  • Maintain administrative systems, including but not limited to communication logs and filing systems (digital and hard copy), and ensure all required records are kept up to date and in line with Chemonics’ requirements;
  • Prepare reports of meetings convened or attended by the Activity team and take meeting minutes/notes as applicable and distribute accordingly;
  • Perform other tasks as directed by the Finance Manager.
Required Qualifications:
  • Academic degree in management, business administration or related field;
  • At least two years of administrative experience performing in a similar position preferably for donor-funded development projects;
  • Prior experience managing logistics within an office environment;
  • Proficiency in written and oral English.
