Overview
We are looking for a highly organized, proactive, and trustworthy Executive Assistant / Personal Chief of Staff to support a busy founder across business, travel, communication, personal operations, social media coordination, and multi-company activities.
This is a high-context role that requires strong ownership, attention to detail, discretion, and the ability to manage multiple priorities across several companies, investment activities, and personal commitments. It is ideal for someone who enjoys bringing order to complexity, managing many moving parts, and becoming a reliable operational partner for a fast-moving founder working across companies, investments, travel, and personal operations.
- Manage calendar, scheduling, and meeting coordination
- Track action items, commitments, deadlines, and follow-ups across multiple companies and projects
- Make sure important tasks are not forgotten or left without follow-up
- Support email communication, including filtering, organizing, and drafting replies
- Coordinate business and personal travel, including flights, hotels, Airbnb, restaurants, transportation, activities, guides, and family logistics
- Organize local bookings and arrangements in Armenia, including restaurants, services, appointments, events, and logistics
- Support communication across multiple companies, investment funds, portfolio companies, partners, and external stakeholders
- Help maintain clear systems for tasks, documents, receipts, bookings, contacts, and communication
- Prepare daily and weekly summaries of priorities, open tasks, pending follow-ups, and items waiting on others
- Help coordinate social media activities, including collecting ideas, preparing drafts, organizing content, and tracking posting schedules
- Support personal operations, including orders, reservations, errands, purchases, and other administrative tasks
- Coordinate with internal teams, external partners, vendors, and service providers
- Follow up persistently but professionally, ensuring people do not “ghost” important requests or leave commitments unanswered
- 3+ years of experience as an Executive Assistant, Personal Assistant, Operations Coordinator, Concierge, or similar role
- Excellent organizational and follow-up skills
- Strong written and verbal communication skills in Armenian and English
- High level of discretion, confidentiality, and reliability
- Ability to manage sensitive information across multiple companies and personal matters
- Strong problem-solving skills and ability to work with limited instructions
- Comfortable using Gmail, Google Calendar, Google Sheets, task management tools, and AI tools
- Ability to prioritize, stay calm under pressure, and handle last-minute changes
- Strong communication skills and confidence to follow up with people politely but firmly
- Good judgment, service mindset, and attention to detail
- Experience supporting founders, CEOs, investors, or senior executives
- Experience working in a multi-company, startup, investment fund, or family office environment
- Experience in travel planning, hospitality, concierge services, or premium customer support
- Experience with social media coordination, content organization, or LinkedIn support
- Russian language skills
- Familiarity with Notion, Slack, Asana, Trello, or similar tools
