Overview

Responsibilities:
  • Manage the General Manager’s calendar, correspondence, meetings, daily schedule and administrative priorities
  • Prepare meeting agendas, briefing packs, presentations, minutes, reports, action trackers and follow-up items
  • Coordinate site leadership, operational, safety, contractor, consultant, corporate and other management meetings
  • Compile, format and issue daily and monthly site management reports
  • Track agreed actions, follow up outstanding items, escalate delays, missing information or critical issues to the General Manager
  • Act as coordination point between the General Manager, site teams, corporate office, consultants, visitors and external stakeholders
  • Prepare and maintain the management roster, including coverage for leave, weekends, public holidays, night shifts and critical operational periods
  • Track senior manager leave, travel, site presence, availability, roster changes and approvals
  • Maintain General Manager office systems, filing structures, records, registers, trackers, contact lists, supplies and administrative workflows
  • Process purchase requisition’s, expense claims, invoices, credit card claims, receipts, cost allocations, supporting documents and approvals
  • Provide authorized administrative support for catering, accommodation, logistics and related site services
Required Qualifications:
  • Diploma or bachelor’s degree in Business Administration, Office Management, Communications, or a related field
  • Minimum 3–5 years’ experience in administration, office coordination, executive assistance, or management support
  • Knowledge of document control, records management, approval workflows, expense claims, purchase requisitions, and invoices
  • Strong proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams
  • Strong communication, organization, coordination, time management, and follow-up skills
  • High attention to detail with the ability to manage competing priorities and meet deadlines
  • Professional, discreet, service-oriented, and able to work effectively with senior management, site teams, contractors, consultants, and visitors
  • Good command of English language skills, both written and verbal
